Faculty Reimbursements:

Travel & Other Pre-Approved Workshop Expenses

To get reimbursement on travel, or other approved workshop expenses, please download and fill out this form, attach all necessary receipts, and send as one file to travel@highlightsfoundation.zendesk.com.

Before Your Book Your Travel, Please Confirm Your Exact Stay Dates With Us!

Your accommodations and meals on our campus are covered for the duration of your program, plus one additional night (either before or after your program) to allow for travel flexibility. Additional nights are available at our standard rate.  However, availability cannot be guaranteed except for during the duration of your program.  Before you book your travel, please inquire with our team about the availablity of your desired stay dates to be sure we can accommodate your needs.

We ask that you arrive by 5:30pm Eastern for appetizers and welcomes at the start of your event (unless you have made other arrangements with our programming team). Please plan your travel accordingly!

TRAVEL OPTIONS

We can cover standard tickets. If you need to upgrade your seat, please keep in mind that we are currently unable to cover upgrades.

You have two options for flying to the Highlights Foundation.  Choose one:

  1. Book your own flight.  Our closest airport is AVP (Scranton/Wilkes-Barre International).  Once you’ve booked, fill out this form and submit with receipts to travel@highlightsfoundation.zendesk.com. We will reimburse within a week of receiving your form and receipts.  Or…
  2. Book through the travel agency Uniglobe. Uniglobe will schedule your flight, and bill Highlights Foundation. You can send details to UniGlobe on this form.

The Highlights Foundation no longer offers in-house shuttle transportation services from the airport; however, our team will work with you to make sure your transportation is set all the way to our retreat center.

AVP is our preferred airport (one hour away from our campus). Other airports in the general area include EWR, JFK, LGA, and PHL (all between 2.5 and 3.5 hours from our campus). If you fly into AVP, we’ll be happy to either cover a rental car for you to get the rest of the way to campus, or we can send a faculty shuttle to pick you up upon arrival.

However, if you fly into one of the further airports, we will cover the cost of rental car, but we unfortunately cannot offer shuttle service. Once your travel plans are set, please fill out this form so we know when you plan to arrive, and whether or not you’ll need assistance getting to campus. Our team will be in touch based on responses to that form!

There are some bus stations (Honesdale & Scranton, PA; Monticello, NY) and train stations (Port Jervis, NY) relatively nearby campus. If traveling by bus or train, we ask that you complete this form for reimbursement, including copies of the receipts of your ticket purchases. Please then send your completed form to travel@highlightsfoundation.zendesk.com.

If you know that you’re planning to take a bus or train and you’ve made your travel plans, will you let our campus team know on this info form? Based on form responses, we will be in touch to help coordinate car service the rest of the way to campus.

We will reimburse your mileage at the standard IRS mileage rate. We ask that you fill out this form with the number of miles (total, roundtrip) and email it to travel@highlightsfoundation.zendesk.com. If you know that you’re planning to drive, will you let our campus team know on this info form?
